Education Management
The Education Director
is a complete education management system encompassing
all aspects of school operations including
marketing, contact management, curriculum
creation, registration, instructor course management,
financial aid, and accounting.
It is ideal for the educational institution that
needs an economical software solution that will allow
maximum utilization of personnel without a prohibitive
price tag, and without requiring an in-house programming
department.
The system was
designed for a small to medium sized educational institution offering anything from a
certificate program to a multi-year degree. With minor modifications, it could also work for K-12 schools
or cosmetology-type schools that require logging of
hours. Customization services are available upon
request. By "small to medium size", we are referring primarily to
the number of personnel that will be accessing the
system simultaneously. A networked version of the
Education Director can handle up to approximately 250 people
(instructors, administration, recruiters, etc.) at one
time.
The Education Director
software is built for easy, low-tech maintenance.
It was created with a program called
FileMaker Pro.
FileMaker Pro is a robust relational database platform
designed to allow the average user to design and create
robust data-driven systems without complex programming
knowledge. All functions within the Education Director are controlled by FileMaker's user-friendly
scripting, and interfaces are assembled through an
intuitive graphical interface. FileMaker's
networking architecture is one of simplest in the
industry, requiring minimal hardware, setup and
maintenance.
The Education Director
can be purchased as "open" software, thus allowing you
to have full freedom to modify any aspect of the
program. Most programs from other vendors are
"locked down" to prevent user modification. We
offer the Education Director fully "open" so that you can
have the control you need. Don't mistake, however,
the complexity of the scripting that comprises the
Education Director. There are literally thousands of
scripts, and hundreds of layouts and relationships.
You can have the control, but only select people with
competent technical knowledge should be allowed access
to the internal workings of the system.
Customization and maintenance support is also available
from us if you desire.

Below is a list of

- An
informative
list
view
that
summarizes all key information
about your contacts and provides
multiple finding and sorting
features.
- A
contact
detail
designed for today's communication oriented society.
It includes phone numbers, email addresses and web
pages, all with point and click connection
functionality. Just click to bring up the web page,
an email form, or automatically dial the phone
number. The contact detail also contains
customizable tagging capabilities. There are seven
user-defined text tags and six date tags.
- A
communication manager for
letters,
postcards and
emails. The communication manager
provides integrated letter and
preformatted postcard editing.
Letters can be printed or
emailed, and are
linked
to addresses for
automated envelope or postcard
printing. A complete record of
all communications with each
contact are kept with the
contact.

Contacts
within contacts.
Within each contact record, there
is a sub-area for recording other
contacts that are associated with
the primary contact. This could
be family members or employees of
an organization or company. Each
sub-contact record allows for
storing of name, phone, email and
affiliation.
- A
to-do
manager for
tracking tasks that are to be
accomplished for others or for
your organization. The to-do
manager supports both single
do-tasks and multiple-task do
sequences. They can be one-time
tasks or recurring. Do-programs
can be attached to contacts one
at a time, or to multiple
contacts simultaneously. There is
also a centralized
administration
screen that
allows management of all do-tasks
for clients and the organization
from a single screen.
- The contact
detail contains customizable tagging
capabilities. There are seven user-defined
text tags and six date tags. These tags can be used
for categorizing your contacts in a way that fits
your marketing and information tracking needs. The
date fields help track significant dates related to
the contact (i.e. first created, last contact,
birthday, anniversary, etc.). These tags can
be quickly searched and sorted to reveal marketing
or other business trends.

Letters,
postcards and
emails can be saved to re-useable
templates. If you have a letter (or
post-card, or email) that may be re-used repeatedly
for a specific purpose, this letter can be saved as
a template. Then, when needed, it can easily
be imported into the letter at hand.
- The
to-do
manager supports
the creation of multiple step marketing
programs. Commonly, within marketing,
there is a process of contact and follow-up that
surround certain activities (a phone call, a letter,
adding to a mailing list, mailing of promo
materials, a 30-day follow-up call, weekly calls,
etc.). The to-do manager can be set up to
automatically implement and inform of each of these
activities at their pre-set times.
- A
separate 'Prospects'
list for the storing of names,
addresses and emails of those
that you wish to communicate with
that may be outside of your
direct circle of contacts (i.e.
for recruiting, marketing, mass
emailing, etc.). Prospects are
grouped by key names for
categorizing, communication and
marketing. Each prospect can be
included in as many as four
key-groups.
- Marketing
to prospects. Automated letter,
email and postcard creation
capabilities are also supported
for prospects. You can enter and
communicate with a new prospect
"on-the-fly" or mass
communicate with a pre-defined
group of prospects.
- A
curriculum builder for virtually
any structure of educational
program (high school,
certificate, 2-year, undergraduate 4-year,
graduate, etc.).
- Robust
reporting that includes student worksheets, course
lists by program, students enrolled by program,
program enrollment/re-entry/withdrawal/graduated
statistics, etc.
- Unlimited
course creation, allowing any course to be assigned
to multiple programs and any number of sessions for
any single course. Sessions can be offered 7
days a week.
- Class
materials
management
allows the assignment of specified books
and materials to each class. The books and
materials reports include a student materials list,
and reports for reconciling purchase orders,
shipping, and book store inventories.
- An easy-to-use
registration interface for assigning students to
various programs and registering for specific
classes.
- Grading
management through convenient
grade/performance data entry.
Provides recording for tests,
mid-terms, finals, tardies, etc.
Calculates recommended grading
based upon a user-defined
standard.

Student
IDs, including picture storage
and bulk printing.

Activity
tracking, allowing for the
recording of all significant
administrative activities including entry,
withdrawal, graduation, termination, general records
actions, disciplinary actions, etc.

Placement
recording allows for the tracking and analysis
of where students are placed, and salaries awarded.
- Robust
reporting for transcripts, student coursework,
class rosters, student schedules, etc.
- Complete
financial aid tracking and reporting, allowing for
an unlimited variety of loans, grants and/or
scholarships. All monies received and
disbursed are recorded and reported.
- Student
accounts receivable, providing entry and reporting
of all monies charged to and received from the
student. This includes automatic calculation
of tuition and materials.
- Robust
reporting including student transaction analysis,
student statements, entitlements and requirements
letters, student income, etc.

Robust username and password security, with each user assigned their
own username and password. The system adminstrator has the ability to grant/deny access
to any of the five areas of the system for any single user. Additionally, each user is assigned one of three
levels of access (Administrative, Clerical, Reference Only).

Reporting Access Control.
The administrator has the ability to
determine which reports are accessible from each area of the system, and what levels of access are elligible.

Student Record Confidentiality.
Instructors can access and edit only records for those students that are assigned to their classes.
As needed, the system administrator can grant additional access for instructor's assistants.
